Records management coordinators assist district staff with developing and maintaining a comprehensive records and information management program in compliance with New York State and federal requirements. The service offers five components:

arrow bulletConsultation: Coordinators survey and inventory records, develop a records retention schedule, advise on records storage requirements, assign records disposition and offer information on vital records protection, policy and procedure development and emergent records & information management technology issues (e-mail, optical disk systems, etc.).

arrow bulletImaging: Coordination of document preparation, filming, databases and verification of records in accordance with regulatory, statutory and industry standards.

arrow bulletOff-Site Storage: Management of records in a secure location that meets industry standards for retention of original microfilm and documents.

arrow bulletElectronic Data Storage (EDS): Coordination of storing paper records electronically to streamline processes and allow for instant day-to-day access to information. EDS systems are designed to increase productivity by automating repetitive procedures.

arrow bulletGrant Writing: Coordinators assist with writing records and information management grants, particularly as they pertain to the New York State Archives.

 

2012-13 Pricing:

arrow bulletConsultation: $442 per day

arrow bulletRecords preparation and imaging: $437 base fee, plus

arrow bullet$355 per diem document preparation by BOCES staff and vendor cost

arrow bulletOff-Site Storage: $255 annual base fee, plus vendor storage fee

arrow bulletEDS: Based on actual services requested
